Please read the following information and guidance carefully before proceeding. There are fundamental changes to the status of this mailing list service which is now considered legacy and may be withdrawn in the future. Depending on your need, there are alternatives such as Outlook Groups / Teams and Outlook Distribution Groups that may be more appropriate and that fully integrate with Outlook and other Microsoft 365 products and services.
This mailing list service is provided as-is and should be used for the creation and management of non-corporate, non-strategic e-mail lists. Use this service to create mailing lists for interest groups, societies, clubs and other types of formal and informal group that may contain both @bath.ac.uk and other external non-bath e-mail addresses.
Mailing lists must be maintained to ensure compliance with University Policy and other legal requirements such as GDPR:
- The University reserves the right to shut down any list should the list owner address become invalid, or should it fail to respond to messages sent to it within a reasonable amount of time. It is recommended that there is a minumum of two list owners for every list.
- If your list is no longer needed, please remove it without delay. The University reserves the right to shut down any list that falls out of use either with no subscribers or where no emails are sent to the service for a significant amount of time.
General Data Protection Regulation (GDPR) considerations:
List Owners are responsible for ensuring that they have identified a lawful basis for the processing of the data following University guidance - https://www.bath.ac.uk/guides/data-protection-guidance/#gathering-data. This service is based on the Sympa software product which imposes some technical limits on how subscribers and their data can be managed:
- Sympa does not directly record whether a subscriber gave consent to be added to a list or not. List owners who manage subscriptions and rely on individual consent will have to maintain this information in their own way.
- Sympa allows individual subscribers to remove themselves from a list. Where list owners rely on individual consent the list should be configured to make these options clear in every email by configuring the message footers in the list options.
Many functions in Sympa require you to identify yourself to the system by logging in, using the login form in the top right menu.
